Who we are

Fflam provides bilingual educational workshops for schools. This policy explains how we use personal information when you use fflam.wales (the “site”), including when you submit an enquiry through our contact flow or email us directly.

The data controller for personal data collected through this site is Fflam (Gareth Milton Griffiths). Contact: bookings@fflam.wales.

What we collect

Enquiries: name, work email, school or organisation, year-group selections, preferred delivery language, and any optional message you choose to add. We may also record which language version of the site you used.

Technical data: standard server and hosting logs (e.g. IP address, browser type, date/time of access) processed by our hosting provider when you load pages.

Why we use your information

To respond to enquiries and arrange workshops (contract steps or legitimate interests in running our business and replying to schools).

To keep the site secure, prevent abuse, and comply with law.

Lawful bases (UK GDPR)

Where you submit an enquiry, we process your details to take steps at your request before a contract and, if you book, to perform the contract.

Where we rely on legitimate interests (e.g. security, improving the site), we balance these against your rights.

How long we keep data

Enquiry and booking-related emails and form submissions are kept only as long as needed to respond, fulfil a booking, and meet legal, tax, or accounting obligations, then deleted or anonymised where appropriate.

Sharing

We do not sell your data. We use service providers strictly to operate the site (e.g. website hosting on Netlify; email delivery). They may process data only on our instructions and under appropriate terms.

International transfers

Some providers may process data outside the UK. Where that happens, we rely on appropriate safeguards (such as UK adequacy regulations or standard contractual clauses) as applicable.

Your rights

You may have rights to access, rectify, erase, restrict, or object to certain processing, and to data portability where applicable. You may lodge a complaint with the ICO (UK) or, if you are in the EEA, your local supervisory authority.

Children

This site is aimed at school staff and organisers, not at pupils. Please do not submit pupils’ personal data in enquiry forms unless strictly necessary; if you do, you confirm you have appropriate authority.
